PDPA Readiness Review

Starting point

A small retail shop with two staff had started keeping customer records in a shared cloud spreadsheet — names, phone numbers, purchase history — to manage a loyalty arrangement. The owner was considering a chatbot tool that would connect to the spreadsheet. She was not sure whether that would be a problem under PDPA.

What we did

We reviewed the spreadsheet structure, the chatbot's terms of service, and the owner's current privacy notice (which did not mention the chatbot at all). We produced a written assessment identifying three specific changes needed before the chatbot could be connected, and two items that would need a lawyer's input to resolve properly.

Outcome

The owner made the three technical changes within two weeks. She engaged a lawyer for the two legal items — something she had not thought to do before the assessment. The chatbot was connected shortly after. She later took the knowledge assistant service for staff training materials.

Knowledge Base Assistant + Support Plan

Starting point

An accounting firm with five staff had procedures documented across several Word files and a shared drive that no one had organised systematically. New staff regularly interrupted the principals with process questions that were already answered somewhere in the documents.

What we did

We reviewed and tidied 31 internal documents, defined the scope to exclude client-specific files and anything containing personal data, set up the knowledge assistant, and ran the two-week correction period. Seventeen answers were flagged and corrected during that period.

Outcome

Staff report using the assistant several times per week for process questions. The firm is now on the support plan, which they use primarily for procedure updates after new client types join. Monthly summary is reviewed by one of the principals and filed.

Starting point

A logistics company with twelve drivers and four office staff. Operations procedures were partly in a printed manual, partly in a WhatsApp group. The owner wanted to add a tool to help drivers answer common operational questions without calling the office.

What we did

Started with the PDPA review, which flagged that the WhatsApp group contained customer delivery addresses that should not be included in the assistant's source documents. We then set up an assistant drawing only from the procedure manual and a sanitised operations guide the owner wrote specifically for this purpose.

Outcome

Driver queries to the office about standard procedures dropped significantly in the first month. The support plan covers monthly updates when procedures change. The owner chose to update the operations guide himself each month — the plan handles incorporating those updates into the assistant.
